Payroll & Financial Administrator (Temporary, Full-Time)

Location: Vancouver (South Granville)

Salary: $52,000–$62,000 annually

About the Role

Reporting to the Director, Financial Services and Data Management, and Director of Finance, the Payroll and Financial Administrator is a member of the finance team, who is highly organized and solution oriented. This position performs, prepares and processes payroll according to established Society procedures and is responsible for the administration of bi-weekly payroll to include federal, provincial, benefit, pension plan, and WorkSafe BC deductions, remittances and contributions. The position demands professional and consistent communication with employees, managers, and directors to fulfill financial requirements and to ensure that transactions are processed correctly in an efficient manner. 

The Payroll and Financial Administrator is responsible for analyzing, performing, and inputting all payroll functions including the review of attendance records, data entry in the payroll system, calculation of appropriate payroll deductions and taxable benefits. This position has an emphasis on payroll but may have some full monthly cycle accounting tasks. 

This position is expected to start in mid-July, and the contract will last for approximately 8-12 months with a possibility for extension or permanent position. 

Job Details

KEY DUTIES & RESPONSIBILITIES
  • Process bi-weekly payroll including the review of attendance records, data entry in the payroll system, calculation of appropriate payroll deductions and taxable benefits
  • Manage plan member eligibility in a Benefits Administration platform
  • Balance and reconcile the payroll, benefits, RRSP and salary accounts monthly for review and approval by the Director of Data Management and Financial Service or Director of Finance
  • Ensure the completion of appropriate remittances to external vendors
  • Complete month-end and fiscal year-end payroll procedures including the preparation and distribution of all employee tax documents and year-end payroll payments
  • Group Enrollments of benefit and RRSP programs ensuring accurate enrolment of participants, effective claims processing, making accurate premium payments and finding solutions to employee inquiries about benefits or pensions
  • Employee Benefit invoicing.
  • Partner with employees and managers to find solutions to payroll inquiries
  • Ensure compliance with payroll legislation, VRS policies and collective agreements
  • Prepare monthly/quarterly WCB reporting and ensure the identification and reporting of contracted services included in the WCB report
  • Generate payroll monthly journal entries and month-end reports to support the finance team
  • Benefit billing reconciliation between benefits provider and payroll/HR records
  • Perform reconciliations on government remittances on a monthly and quarterly basis
  • Provide excellent customer service both internally and externally to employees and vendors
  • Support onboarding of new employees, ensuring a smooth transition
  • Educate employees and administer plans to carrier guidelines and policy plan design
  • Prepare full cycle accounting accounts receivable, accounts payable, general ledger 
  • Prepare monthly bank reconciliations and other accounts reconciliations.
  • Complete month end closing procedures in AR, AP, and GL
  • Maintain organized electronic filing system 
  • Perform Other duties as required.
QUALIFICATIONS & EDUCATION/TRAINING:
  • Payroll Compliance Practitioner (PCP) complemented with accounting courses 
  • 3 to 5 years of related payroll and benefits administration experience
  • Minimum 2-3 years of recent related experience in full-cycle accounting
  • Experience with Quadrant Payroll Software is a strong asset
  • Strong attention to detail and time management in a strict deadline environment
  • Proactive, self-initiative inclination with strong problem-solving abilities
  • Excellent communication and timely follow-up
  • Ability to work in a fast paced, and deadline driven environment
  • Strong experience and knowledge in Excel and ERP system
  • Ability to work independently and as part of a team
COMPENSATION & BENEFITS
